How to Brief a Commercial Flooring Project

A commercial flooring brief should explain the business problem the floor needs to solve. Give the project team a clear picture of the space, its use and its constraints before discussing a finish.

Describe the Space and the Work

Identify the project location, approximate area and which parts of the building are included. Explain how each area is used during a normal operating day. A room name alone may not describe the traffic, movement or activities that matter to a flooring decision.

Name the person who can answer site questions and the person who approves scope. If a tenant, building owner or property manager must be involved, identify that relationship at the start rather than discovering it when access or approval is needed.

Explain the Existing Floor and the Desired Change

Share clear photos, previous finish information and known concerns. Describe what you want to improve: appearance, maintenance needs, a different type of finish or a clearer separation between working areas. Do not diagnose the slab or prescribe a product based only on an online comparison.

Distinguish the desired result from the preferred material. A buyer may ask about a coating while still deciding whether exposed finished concrete would fit the space. Explain the goal so the actual options can be assessed against the floor and intended use.

    Make Operating Constraints Visible

List the times and areas when access is limited, the routes that must remain available and the other work expected nearby. If the business can close an area but not the whole premises, explain that constraint without assuming a phased installation is feasible.

Tell the team about immovable items, delivery schedules and decision deadlines that affect planning. These are inputs for the project discussion, not a reason to assume an installation or return-to-use date before the scope and system are established.

Send a Brief That Can Be Reviewed

Keep the main information in one message or document so the project can be understood without piecing together several conversations. Photos should be labeled by area, and unresolved conditions should be marked as unknown rather than omitted.

    • Location, included areas and approximate dimensions.
    • Actual business use and existing floor information.
    • Access restrictions, other trades and approval contacts.
    • Desired finish direction and the questions still undecided.

    Discuss Your Floor

Tell Ellett Epoxy where the project is, how the space is used and which questions you want to work through.
