Map the Activities Around the Work
List who uses the area and when: staff, visitors, deliveries and other contractors. Mark the usual routes through the building and identify which of them pass through or beside the proposed work. A space can look empty in a photograph while still serving an important daily function.
Describe which activities can move temporarily and which cannot. Keep that distinction factual. The flooring team needs the actual constraint, not a promise that a particular sequence will let every activity continue unchanged.
Define Boundaries and Communication
Agree who will communicate work-area restrictions to building users and who the installer contacts when access changes. Identify the areas that must stay clear and the neighboring activities that could interfere with the work.
Ask how the proposed system and site conditions affect use of surrounding spaces. Do not assume that an open building means the affected floor can stay in service. The plan needs project-specific instructions, including how changes will be communicated if the agreed arrangement is no longer workable.
Plan the Business Response
Consider the choices the business can control: moving stock, redirecting a route, changing a delivery window or temporarily relocating an activity. Put those choices into the planning conversation before the installation sequence is agreed.
If continued occupancy makes the proposed approach difficult, compare the available options with the project team. A closure, a different sequence or another work window may need consideration. The actual site and proposed work determine whether continued occupancy is possible.
Keep Occupancy Separate From Phasing
Occupancy planning concerns the people and activity around the job. Project phasing concerns the order in which floor areas are worked on. They affect each other, but an occupied building does not automatically require or permit any particular number of phases.
- Identify people, routes and activities near the work.
- Name the building contact responsible for communication.
- Confirm project-specific restrictions for adjacent areas.
- Review any operational change before relying on it.
